About the position
As a selection and admission officer, you are responsible for the reliable, compliant and high-quality execution of the full selection and admission process of Hotel Management School Maastricht (HMSM), from initial application through to enrolment. In this role, you contribute to the quality and integrity of admission decisions in a regulated, high-stakes context.
You are the first point of contact for candidates from the moment they register in Studielink, and you ensure clear, timely and professional communication throughout the process. You work closely with the selection core team (coordinator, peer selection and admission officer and statistics & analyses expert) under the leadership of the dean Development & Relations. You are part of the Development & Relations team and collaborate with colleagues, students and external partners to deliver a fair, transparent and hospitable selection experience. As HMSM is implementing a newly designed selection procedure, you actively contribute to its further development and continuous improvement.
Your tasks include:
Candidate support & guidance
- Guide candidates through phase 1 registration in the digital platform Osiris, including document submission and requirements.
- Provide clear and timely communication via email, phone and WhatsApp.
- Deliver first-line ICT support and escalate where needed.
- Welcome and guide candidates during selection fridays (phase 2).
Compliance, procedures & confidentiality
- Apply independent judgement within established frameworks to safeguard fair and compliant selection decisions.
- Handle sensitive personal data with integrity and confidentiality.
- Ensure consistent application of procedures and accurate documentation.
- Verify the authenticity of submitted documents.
- Assess candidate profiles, including cases requiring interpretation or exception handling.
- Process and validate selection data across various systems (Osiris, Remindo, Excel).
- Identify and escalate inconsistencies, irregularities and procedural risks.
Communication & sensitive interactions
- Communicate selection outcomes with clarity, tact and transparency.
- Handle complex or sensitive cases with sound judgement and discretion.
- Manage interactions involving dissatisfaction, complaints or requests for clarification.
- Engage professionally with internal and external stakeholders.
Organization, logistics & process support
- Coordinate operational and logistical preparation for selection fridays.
- Oversee and coordinate student assistants (±25 students).
- Take operational lead during selection fridays and ensure smooth execution.
- Actively identify, initiate, and implement improvements to professionalize the selection procedure further.
ICT & quantitative support
- Safeguard the integrity, accuracy and traceability of selection data.
- Analyse candidate and selection data, identify trends, anomalies and irregularities, and translate these into actionable insights for decision-making and process improvement.
- Report key findings to the coordinator and to the dean Development & Relations.
- Develop and maintain operational monitoring dashboards.
- Work confidently with Microsoft 365 (Word, Excel, Teams, PowerPoint, SharePoint, OneDrive).
- Provide support for Remindo (training will be provided).

You work effectively within a small, collaborative team and engage easily with stakeholders across recruitment, marketing and communication.
You communicate clearly and professionally, remain composed under pressure, and operate confidently in a dynamic and sensitive environment. You show initiative, work independently when needed, and bring sound judgement, a strong ethical compass and a solid understanding of the legal and compliance frameworks governing selection and admissions.
You bring
- A bachelor’s degree.
- Strong ICT skills and confidence in working with digital systems, including Osiris, Remindo, and Microsoft 365.
- Quantitative skills, with the ability to interpret and validate data.
- Fluency in Dutch and English.
- A discreet, accurate and responsible approach.
- Strong communication and interpersonal skills.
- The ability to maintain an overview and prioritise during peak periods.
- A service-oriented and collaborative mindset.
- A hospitable, welcoming and customer-focused attitude.
What we offer
- A 0.5 – 0,6 FTE position, preferably starting at the beginning of the academic year 2026/2027 (August 17th, 2026).
- The salary is limited to scale 7 according to the collective labour agreement for universities of applied sciences (cao-hbo). This corresponds to a minimum of € 2.950,65 and a maximum of € 4.084,93 gross per month based on a full-time appointment.
- Holiday allowance of 8% and a year-end bonus of 8.3%.
