About the Role
We are looking for a Customer Service Administrator to strengthen our ACIST Europe team in Heerlen. In this role, you will ensure smooth, accurate, and timely order processing for our OTC UK market, while delivering outstanding customer experience. Your work will directly support healthcare professionals and internal teams, helping us maintain our high standards of operational and service excellence.
What You Will Do
- Accurately process customer sales orders, exchanges, and return orders in the ERP system.
- Create and manage credit and debit memos.
- Oversee the complete invoicing process, ensuring timely and precise billing.
- Collaborate closely with Sales, Logistics, Finance, and Healthcare Professionals to resolve issues and ensure on time deliveries.
- Handle escalations professionally and work with the Team Lead and management on resolutions.
- Monitor and proactively resolve discrepancies in order and invoice statuses.
- Provide friendly, professional customer support by phone and email.
- Ensure compliance with internal procedures and external regulations, including ISO 13485, ISO 14001, and ISO 45001.
- Maintain accurate documentation for internal controls and external audits.
- Minimum of 3 years’ experience in customer service, order management, or sales administration, preferably in healthcare, medical devices, or pharmaceuticals.
- Strong communication and problem solving skills, with a collaborative mindset.
- Ability to thrive in a fast paced, international environment.
- Well structured, accurate, and analytical way of working.
- Fluent (native or near native) English, spoken and written; additional languages such as Dutch, French, or German are a plus.
- Proficiency in Microsoft Office (especially Excel) and experience with CRM and call center tools.
- Familiarity with ERP systems (SAP, Oracle, Microsoft Dynamics).
- Knowledge of the medical device or pharmaceutical industry is an advantage.
